CRM Workflow Automation Services

Keep an incoming enquiry connected to the person and task responsible for its next step. Shenox builds CRM integrations and sales workflow automation for teams handling leads across forms, inboxes, calendars and separate business tools.

What we can build with you

Lead capture and record matching

Map incoming form and conversation fields to your customer records. Decide how to identify an existing contact, preserve its history and handle a second enquiry from the same business. Missing identifiers can enter a review queue rather than creating a guessed match.

Pipeline tasks and follow-up rules

Create the next task when an agreed pipeline event occurs, assign an owner and make overdue work visible. Contact preferences and stop conditions belong in the workflow so a closed or opted-out conversation does not keep receiving automated follow-ups.

CRM, inbox and calendar integrations

Connect the systems involved in the enquiry using the access their providers support. Keep the source record, conversation and scheduling context linked, and define what the team sees when one of those systems is unavailable.

Improve the existing CRM or build a custom workspace?

If your CRM already supports the records and permissions you need, an integration can be enough. A custom workspace becomes more relevant when the customer journey spans several teams or uses business rules that the existing product cannot represent. We compare both approaches against your current data and account access. The LeadFlow AI project illustrates the custom-workspace option: organization-scoped customer records, conversation threads, appointments and tasks share one application. For an existing CRM, the first step is to check the current product, subscription and API permissions.

How the work takes shape

  1. Trace one enquiry from its source through qualification, ownership and the final sales or service record.
  2. Agree the field mapping, contact identity rules, account permissions and events that may change a record.
  3. Build against sample data and test repeated events, conflicting updates, opt-outs and interrupted connections.
  4. Pilot the workflow with a defined team, review exceptions and document how to pause it or correct a record.

What affects the scope and cost?

The number of connected systems is only part of the scope. Record quality, historical data imports, custom fields, API limits and two-way synchronisation can add substantial work. CRM subscriptions and provider usage remain separate operating costs. A quote should identify the first workflow and its acceptance checks rather than promise every integration for a fixed generic fee.

Common questions

Can you automate our CRM without replacing it?

Often, provided its APIs and account permissions expose the required records and events. We check the exact product, subscription and access first. If an existing feature already covers the workflow, configuring that feature may be the appropriate scope.

How do you avoid duplicate leads and repeated actions?

We agree how a contact is identified, which system owns each field and how repeated events are recognised. Tests include duplicate submissions and retried jobs. Ambiguous matches should be reviewed instead of silently merging two customers.

Can follow-ups stop after a reply or an opt-out?

That should be an explicit workflow rule. The design needs reliable reply and preference signals from the connected providers, plus a way for the team to pause an individual record. Message sending is scoped around the business's permitted contact process.

Do all CRM automations need AI?

No. Assignments, reminders and status changes usually work best with explicit rules. AI can assist with summarising a conversation or classifying an unstructured enquiry, while the application validates any resulting record change.

Tell us what needs to work

Describe where enquiries arrive, which CRM or spreadsheet holds the current record, who should own the next task and what ends the follow-up. Share redacted field examples and a list of tools. Include any restriction on automated customer messages or changes to existing records.
